Business as usual updates

We are sent requests from our council service teams to update content on our site everyday. We action this as soon as we can as this helps to keep the site information up to date. Here are some examples of some of the requests that we get.

  • Page updates – Changes to just part of the page where information has changed or is no longer needed.
  • Document upload – Uploaded to supplement content, usually policies, data, notices and some forms that are not online.
  • Form updates – When fields of a form need updating. This will involve both content and development colleagues.
  • Structure and name change requests – This needs careful control by us as renaming and restructuring could affect other services and parts of the site.
  • Urgent information requests – Any announcements, process changes or service updates that need to be communicated or any information that is incorrect and affects service delivery.
  • Page rewrite requests – Changes that affect the whole web page content.
  • New page request – Created if there is a new service or if pages are too long and need to be split.
  • Delete page requests – When information is out of date or a service is no longer available.

Other requests that we get

  • New site request – We work together with the service to identify what is needed.
  • New form request – Again we work the service to find out what is needed and plan any work in.

Content review

We want to make sure that our content works for our users. Our website should only show up-to-date and current content that meets a user’s need. If there is not a user need or a statutory duty to publish, it should not be on our website.

Audit

Our content is reviewed when we make updates as part of business as usual and a full check of content takes place each year. We complete an annual audit of our website, reviewing all pages and identifying where improvements could be made. Pages that are no longer needed are unpublished so they will no longer be found on our website.

We also focus on specific areas as we review. Here are some of the things we look at.

  • If a service can be moved to online rather than a manual form.
  • If pages need to be taken down, merged or the information split into another page.
  • Any page updates needed.
  • Any complete page rewrites needed.
  • Any out of date information.

Review dates

A review date is set for every item of content. The date is usually 6 months from when the page was last updated. This date can be found at the bottom of all our pages along with the name of the person who last updated the page.

Feedback

We have a feedback form that appears on every page of our site. We receive feedback from our customers and our colleagues about what they thought of our content, highlighting any issues that they have spotted. We try to act on this information where we can. And the information sometimes helps us to rewrite or restructure information.

Microsites

We also have several microsites that cover Somerset Council information. We support the content on these sites and try to make sure our writing style is also applied to them too.
